This policy explains what personal information Sauly Events Ltd collects about you, why we collect it, who we share it with, and what rights you have over it.It applies to this website, to Country on the Castle, and to all other events we organise or operate.

If you have any question about this policy or about how we handle your information, please contact us using the details above.
2. Information We Collect
When you buy a ticket
Tickets are sold through our ticketing partner, Skiddle. You buy from them directly and they operate their own privacy policy, which we would encourage you to read. They pass us the information we need to run the event — typically your name, email address, the ticket type you bought and your order reference. We do not receive or store your card details at any point.
When you contact us
If you email us or call the event day line, we keep your message or a note of the call, together with your contact details and anything you tell us, so that we can respond and keep a record of what was agreed.
When you attend an event
- CCTV and body-worn video. Our sites are monitored by CCTV, and security operatives wear body-worn cameras which may be activated during searches, where entry is refused, and where an incident is developing. This is operated by our security contractor, not by us — see section 5.
- Incident records. If you are involved in an incident, a first aid episode, a search, or a refusal of entry, we and our security contractor record what happened.
- Photography and filming. We take photographs and video at our events for promotional and marketing use. You may appear in this footage. If you would rather not, you can object — see section 8.
Health information
In some situations we handle information about your health. This happens if you apply for a carer ticket, tell us about an access requirement, ask to bring food, drink or medication onto site for a medical reason, or receive first aid at an event. We treat this information with particular care, collect only what we actually need, and share it only with those who need to know.
When you use this website
Our home page can show our Instagram feed, embedded using a third party service called Elfsight. It only loads if you agree. When it does, your browser contacts Elfsight and Instagram directly, and they will see your IP address and may set their own cookies. We do not receive any information about you from it.
If you agree to advertising cookies, this site uses the Meta Pixel, an advertising and analytics tool provided by Meta Platforms. It records that you visited the site and which pages you looked at, and allows us to measure how well our advertising is performing. It works using cookies and similar technologies, and the information it collects may be linked to your Facebook or Instagram account if you have one. See section 4 below.
Every page loads its fonts from Google Fonts, so your browser sends your IP address to Google when it fetches them. The event page shows a map from OpenStreetMap, which receives your IP address when the map loads. Neither sets cookies for us or tells us anything about you.
3. Why We Use It, and Our Lawful Basis
| What we do | Lawful basis |
|---|---|
| Admit you to the event, manage your booking, and deal with refunds | Performance of a contract with you |
| Answer your enquiries and keep a record of our correspondence | Legitimate interests — running our events and responding to those who contact us |
| Keep attendees, staff and neighbours safe; record incidents; decide whether to refuse entry | Legitimate interests — safety, security, and the prevention and detection of crime |
| Meet our obligations under our licence, and to the local authority, the police, and health and safety law | Legal obligation |
| Provide first aid or emergency medical assistance | Vital interests, and for health information, the provision of health care |
| Assess carer ticket applications and access or medical requirements | Your explicit consent, given when you apply |
| Advertising, marketing and analytics, including the Meta Pixel | Your consent |
| Use photographs and video of the event in our marketing | Legitimate interests — promoting our events. You can object, including on behalf of your child |
Where we rely on consent, you can withdraw it at any time. Where we rely on legitimate interests, you have the right to object — see section 8.
4. Cookies, the Meta Pixel and Embedded Content
When you first visit, we ask whether you agree to two optional services. Neither loads until you say yes, and saying no doesn’t stop you using any part of the site.
- Advertising (Meta Pixel). Sets cookies in your browser and sends information about your visit to Meta Platforms, including your IP address and the pages you viewed. We use it to measure our advertising and to show our adverts to people likely to be interested in our events.
- Instagram feed (Elfsight). Shows our latest Instagram posts on the home page. Elfsight and Meta Platforms, who own Instagram, may set their own cookies, governed by their own privacy policies.
We remember your choice in your browser’s local storage for six months so we don’t ask on every visit. That record is strictly necessary and contains nothing but your choice.
Changing your mind: use the link at the bottom of any page. If you withdraw consent, we delete Meta’s cookies from our site and stop loading the pixel. You can also adjust what Meta shows you through the advert settings in your Facebook or Instagram account.
Meta Platforms is based in the United States. Where information is transferred outside the UK, it is protected by the safeguards Meta has in place, which include the UK addendum to the standard contractual clauses approved for this purpose.
5. CCTV and Body-Worn Video
We do not operate the cameras and we do not hold the footage. CCTV and body-worn video at our events are provided by our appointed security contractor, an independent SIA-approved security company. They record, hold and are responsible for that footage under their own privacy policy and retention arrangements.
Cameras are used to keep people safe, to deter and detect crime, and to keep a fair and accurate record of what happened when there is an incident, a search, or a refusal of entry. Signage is displayed at our event sites. Body-worn cameras are not recording continuously; operatives activate them at the point an incident, search or refusal begins.
We do not hold this footage and do not have routine access to it. We may be shown footage by our security contractor where it is relevant to an incident we are dealing with, or where we are asked to assist the police or the local authority.
If you would like a copy of footage of yourself, or you have a concern about how it has been handled, contact us at events@saulyevents.co.uk and we will pass your request to our security contractor, who will deal with it directly. Please get in touch as soon as possible, since footage is deleted on a short cycle. It helps if you can tell us the date, the approximate time, the location on site, and what you were wearing.
6. Who We Share It With
- Our ticketing partner, Skiddle, who sells tickets on our behalf
- Our security contractor, who staffs our gates, carries out searches, and records incidents. They operate CCTV and body-worn video at our events and are responsible for that footage in their own right — see section 5
- Medical and welfare providers at the event, where you need assistance
- The emergency services, where there is a risk to life or a crime has been committed
- The venue and the local authority, where our licence or their conditions require it
- Our IT and email providers, who host our systems on our instructions
- Elfsight, whose service embeds our Instagram feed on this website, and Meta Platforms, who operate Instagram and the Meta Pixel, where you have agreed — see section 4
- Google (fonts) and OpenStreetMap (the venue map), which receive your IP address when your browser fetches them — see section 2
We do not sell your personal information to anyone, and we do not share it with third parties for their own marketing.
7. How Long We Keep It
| Information | Kept for |
|---|---|
| Booking and attendance records | Up to 2 years after the event |
| Correspondence with us | Up to 2 years after the matter is closed |
| CCTV and body-worn video | Held by our security contractor under their own retention policy, not by us |
| Our records relating to an incident | As long as needed to resolve it, and any legal claim or investigation arising from it |
| Records of a decision to refuse entry, and the notice given | Up to 3 years, then reviewed |
| Health information given for access or carer tickets | Deleted shortly after the event, unless an incident occurred |
| Financial records | 6 years, as required by tax law |
8. Your Rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal information we hold about you
- Ask us to correct anything that is inaccurate or incomplete
- Ask us to delete information where we no longer have a good reason to keep it
- Ask us to restrict how we use your information while a concern is looked into
- Object to our use of your information where we rely on legitimate interests, including for marketing and our use of photographs or video of you or your child
- Ask us to transfer certain information to you or another provider
- Withdraw your consent at any time, where we relied on consent
To exercise any of these rights, email events@saulyevents.co.uk. We will respond within one month. There is no charge, and we may ask you to confirm your identity before we release information.
9. Children
Our events are family friendly and children attend with a responsible adult. We do not market to children, and we do not knowingly collect information from children other than what a parent or guardian gives us when booking or when we provide first aid. If you are a parent or guardian and have a concern about your child’s information, please contact us at events@saulyevents.co.uk.
10. Changes to This Policy
We may update this policy from time to time. The date at the top of this page shows when it was last changed. If we make a significant change, we will make that clear on this page.
11. Complaints
If you are unhappy with how we have handled your information, please tell us first at events@saulyevents.co.uk so we have the chance to put it right. You also have the right to complain to the Information Commissioner’s Office, which regulates data protection in the UK.
